As we’ve spoken with customers about the people processes they manage every day, one challenge has come up repeatedly: managing employee leave becomes more difficult as businesses grow.

For many organisations, leave requests, approvals and balances are still managed across spreadsheets, emails, messages and inefficient systems. This makes it harder for employees to request time off, for managers to make informed approval decisions, and for HR teams to maintain accurate records and support compliance with applicable local regulations.

That feedback is why we built Time Off, Talstack's new leave and absence management module that brings requests, approvals, balances and policies into one place.

With Time Off, employees can request and track leave, managers can review and approve requests with better visibility into team availability, and administrators can configure leave policies around how their organisation works.

Make Every Time-Off Request in One Place

Time Off allows employees to submit requests, view their available balances and track the status of previous and current leave requests from one place.

The module automatically calculates the duration of each request based on an organisation’s policy. Employees can request full or half days, submit multiple requests together and identify potential issues before submitting, including insufficient balances or requests that do not meet the required notice period.

Employees can also view a shared team calendar before choosing their dates, making it easier to see when colleagues are already scheduled to be away.

Give Managers Better Context Before Approving Leave

To make informed time-off decisions, managers need visibility into who is already scheduled to be away and how a new request could affect team availability. We designed Time Off to give managers that context. We designed Time Off to give managers that context.

When reviewing a request, managers can see an employee’s remaining balance, their projected balance after approval and whether other team members are expected to be away during the same period.

Managers can approve or decline requests, process multiple requests together and submit time off on behalf of a direct report when necessary.

This creates a clearer process for employees while helping managers make decisions with better visibility into team availability.

Configure Policies Around How Your Organisation Works

Our conversations with customers also reinforced something important: every organisation manages time off differently. That meant flexibility had to be built into Time Off from the start.

The module allows organisations to configure leave policies around how they operate. Allowances can vary by factors such as employee level, department or location. Organisations can also configure leave types such as maternity and paternity leave, along with different approval processes, notice requirements, rollover rules and accrual structures.

Administrators can create different absence types and set the rules that apply to each policy, including eligibility requirements, approval chains, notice periods, accrual rules, proration and the number of unused days employees can carry into a new time-off year. Once a policy is active, eligible employees can view their entitlements directly in the module.

By bringing leave policies, requests, approvals and balances into one system, Time Off also gives organisations a clearer and more consistent record of how employee leave is managed. This makes it easier for HR teams to trace decisions, confirm that the appropriate policies and approval processes were followed, and maintain supporting records for internal reviews and audits.
